How To Send Your Application Form via Email

Use the Send Via Email function to invite specific people to apply to your program by email, including how to ensure the correct form's URL is sent when you have multiple forms set up.

In addition to sharing your application form via your landing page or social channels, you can invite individuals to apply by sending them the "You're invited to apply" email directly from Buzzbassador. This is more personal than a generic share link and works well for outreach to specific creators, customers, or contacts you want in your program.

Before you send: customize the email template and include the form URL merge tag

The "You're invited to apply" email template is shared across all forms in your account. Before sending, customize it:

1. Go to Engage > Emails.

2. Click Edit on the "You're invited to apply" email.

3. Customize the design, copy, and styling.

4. Make sure the email contains the {{form_url}} merge tag wherever you want the application form link to appear (typically in a button or call-to-action). This merge tag dynamically inserts the URL of the form you send from. Without it, the email will go out without a working link.

5. Confirm the email is set to Active and click Save.

How to send the invitation

Each form has its own Send Via Email function in the form editor. The email that goes out includes the URL of whichever form you send from, populated via the {{form_url}} merge tag.

1. Go to Recruit > Application Form.

2. Click Edit on the form you want to send. If you have multiple forms, pick the one whose program routing matches the audience you are inviting.

3. In the form editor, click Send Via Email in the top right.

4. In the popup, type or paste the email address(es) of the people you want to invite. You can paste a list copied from a spreadsheet, separated by commas or new lines.

5. Click Send Email.

Recipients receive the "You're invited to apply" email with a link to the form you sent from. When they click through, they land on that specific form, and any submissions route to the program that form is configured for.

Notes:

  • The {{form_url}} merge tag is essential when running multiple forms; it ensures each recipient gets the correct form link based on which form's editor you sent from. If you remove this merge tag from the email template, the email will go out without a working application link.

  • The "You're invited to apply" email is currently the only email that uses {{form_url}}, since it is the only email triggered before an applicant has chosen a specific form. Submissions on the Applicants page are tagged with the form they came from, so you can track conversion rates by form and channel.
