What is the "You've been imported" email and when is it sent?

Wondering what email gets sent after you import new members? Here's what the post-import email is all about.

Note: We use "Program" and "Member" as label-agnostic terms to refer to any marketing you are using Buzzbassador to facilitate, whether you refer to it as an affiliate program, influencer marketing, ambassador program, referral program, creator partnerships, brand reps, partner program, etc.

There are 8 emails that you can edit from the Email Template Editor. Each of these emails is sent automatically based on a certain trigger. This article addresses the "You've been imported" email.

First, some context: often times merchants will install Buzzbassador already having some members in their program that existed before they started a Buzzbassador account. Whether these pre-existing members were being managed in excel sheets or a different app, once the merchant installs Buzzbassador, they then need to import these pre-existing members into Buzzbassador. Each member needs to have an account created and have a code created for them OR have their current code linked to them within Buzzbassador (for tracking purposes). That is why we offer the import pre-existing members feature.

Once these pre-existing members are imported, they need to be informed that they have been migrated to a new tracking system. They need to be told that they have a new Buzzbassador account and that all of their generated referral sales, payouts, and code usage will be tracked from there from now on. That is what the "You've been imported" email is for.

What is the "You've been imported" email

The import email has one main purpose: to inform your existing members that they have been imported to a new member management system (Buzzbassador), and that an account has been created for them. So, if you are importing members, you will need to explain everything to them in the "You've been imported" email content.

When is the "You've been imported" sent

The "You've been imported" email is sent to every member that you import, immediately after you import them, as long as you have the "active" switch for the "You've been imported" email is turned on (as shown below).

If that switch is turned on, each member on your import list will receive this email as soon as the import is complete.

What should I include in this email?

Lucky for you, we have several pre-built templates that you can use. Of course, you may want to change out the text, but it just gives you a starting point to show you what info may be helpful to include. Let's break down some things to include:

1. Explain what Buzzbassador is

It's important to explain what Buzzbassador is, and tell them that they will now have their own Buzzbassador account and dashboard to log into.

2. Give them some next steps

Buzzbassador will send a 'set password' email to all members you import, so make sure to let them know to look out for that.

3. Make sure they know their codes

Whether your members already had assigned discount and referral codes or Buzzbassador created new ones for them, you need to make sure your members know what their codes are and how to use them. You can use our automatically-populated code elements for this - learn more here.
