[Merchant Guide] The Ambassador Dashboard: What Your Ambassadors See, and How to Get Them Logged In

A merchant-facing guide to what ambassadors can see and do in their dashboard, how login and invites work, and answers to the most common ambassador support questions.

Written by Shelby Baldwin

This article walks through what your ambassadors see and can do once they're approved, and how to point them toward logging in. If you're troubleshooting a specific ambassador issue (can't log in, missing reward, etc.), the FAQ at the bottom covers the most common ones.

What is the Ambassador Dashboard?

The Ambassador Dashboard is a separate, dedicated home for your ambassadors, where they can track their referrals, see what they're owed, grab their sharing links and codes, manage their payout details, and share a recap of their journey with your store.

It lives on its own web address, separate from your merchant dashboard: amb.buzzbassadorapp.com. Your ambassadors never see your brand dashboard, and you'll never see theirs. What they view is scoped entirely to their own activity on your store.

Getting your ambassadors logged in

How access starts

An ambassador can't get into the dashboard until you approve their application. Approving them is what triggers the system to email them an invite to set their password.

If they don't act on that first email, two reminders go out automatically: one after 24 hours, and a final one after 7 days. All three emails link to the same set-password page, so if an ambassador acts on the first one, they simply won't receive the later reminders. That's expected, not a sign anything broke.

What happens when they set their password

The moment an ambassador sets their password, they're signed in automatically and land straight on their dashboard. They never see a login screen on this first visit.

Logging in after that

For every visit after the first, ambassadors log in at amb.buzzbassadorapp.com with their email and password. There's a "remember me" option and a link to reset a forgotten password.

If an ambassador says they never got an invite, or lost it

Send them to the login page and have them use Forgot password. That flow works even for an ambassador who never set a password in the first place, since completing it activates their account the same way the original invite would have. This is the easiest way to get someone unstuck without needing to re-trigger anything on your end.

If an ambassador says they can't log in at all

If they see a message saying their account "isn't set up as an ambassador," their password was correct. The issue is that they aren't an approved ambassador on an active store, which usually means one of these:

  • They haven't been approved yet

  • Their approval was removed

  • The account is a merchant account, not an ambassador account

Check their status in your ambassador list to confirm which applies before troubleshooting anything else.

A note on old links

If any of your older materials point to a buzzbassadorapp.com/member/... web address instead of the current dashboard, those links still work. They'll redirect ambassadors straight into the current dashboard, so there's no need to track those down and update them.

What ambassadors can see and do

Here's a tour of what your ambassadors have access to once they're logged in.

Dashboard home

This is the page they land on every time. It's personalized with their name, and it's where they'll spend most of their time. It includes:

  • Lifetime earnings, split into what's still pending and what's already been paid out

  • Their sharing tools: their referral code, affiliate link, and personal discount code, whichever ones you've turned on for your program

  • Your program's terms, written out in plain language from your program settings, so ambassadors always know their current commission rate and perks

  • A personal payout goal they set for themselves (you don't set this, and it's private to them)

  • A performance snapshot: orders, sales, and earnings over a date range they choose, with a trend chart

Referrals

This page shows the individual orders an ambassador has driven, with a status for each: Processing, Confirmed, or Cancelled. This is about attribution, not payout, it's a record of "which orders count as mine," separate from what they're actually owed.

Rewards

This page answers "what am I owed, and what have I been paid?" Every reward, whether from an order or a campaign, moves through the same four stages an ambassador can see: Processing, Due, Paid, or Declined.

A couple of things worth knowing, since they'll shape the support questions you get:

  • A reward becomes Due once it clears your store's maturity period (the holding window you've set). From there, it's paid whenever you actually issue the payout, there's no fixed schedule on Buzzbassador's end for when a Due reward becomes Paid, that's entirely down to when you send it.

  • If a payout comes back or gets reversed, most often from a bad PayPal address, the reward reverts from Paid back to Due. The ambassador won't see an explanation for this on their end, so if you hear "it said Paid last week and now it says Due," that's very likely what happened.

Settings

Ambassadors manage their own profile photo, contact details, and social handles, their login email and password, their referral code (they can request a new one, though this deactivates the old code immediately, with no grace period), and their payout method, including a PayPal email if your store pays through PayPal.

One thing worth flagging: saving a PayPal email doesn't verify it's a real, working address. It just gets marked as connected. A typo won't surface until an actual payout attempt fails.

Buzz Journey

This is a story-style recap of an ambassador's entire history with your store, similar to a "wrapped" format. Ambassadors can view a private version of it any time, and they can optionally flip a toggle to make a public version shareable, which strips out any dollar figures but keeps things like total sales driven, top product, and customers reached. It's off by default, so nothing is shared unless the ambassador chooses to.

Quick FAQ

An ambassador says a reward or referral is missing.

Check whether the underlying order was refunded, voided, or cancelled, that's the most common reason a reward doesn't appear or shows as declined. Also confirm whether they used their referral code (meant for followers) on their own order by mistake, since that's specifically excluded and shows as a self-placed order decline.

An ambassador says their numbers don't match between the dashboard and the Referrals or Rewards pages.

This is expected. The dashboard's headline earnings figure includes order commissions and campaign rewards together, while the Referrals page's "Commission earned" card is order commissions only. They're answering slightly different questions, not disagreeing.

An ambassador is locked out and every page shows an error.

Before troubleshooting their account, check your own store's subscription and installation status. If your billing has lapsed or the Buzzbassador app has been uninstalled from your store, your ambassadors are locked out of their entire earnings history with no explanation shown to them, and there's nothing on their end that fixes it.

An ambassador can't find a way to message support from inside the dashboard.

That's correct, there's no in-app support widget on the ambassador side today. Any ambassador question comes to you or your support team directly, so it's worth keeping your team briefed on the common ones above.
